Multiple stages and deadlines
Participants needed clear guidance for different submissions, preparations, travel-related steps, programme materials, and event procedures.
International Programme
A participant-facing digital and operational framework covering website content, forms, guidance, documentation, English communication, logistical coordination, and event preparation for an international programme in Japan.
Overview
The project required consistent communication and well-structured digital information across multiple stages, including pre-arrival preparation, document submission, programme guidance, event-day support, and follow-up.
I contributed across participant website production, visual materials, English communication, forms, operational documents, stakeholder coordination, logistical preparation, and on-site delivery.
The Challenge
Participants needed clear guidance for different submissions, preparations, travel-related steps, programme materials, and event procedures.
Information had to be written clearly in English for participants from different countries, backgrounds, and levels of familiarity with Japan.
Client instructions, participant questions, internal preparations, and operational updates needed to remain aligned throughout the programme.
My Responsibilities
My role connected participant-facing information, internal coordination, visual communication, and practical event delivery.
Created and updated participant-facing pages, navigation, programme information, guidance, materials access, forms, and announcements.
Prepared and sent participant guidance, submission requests, reminders, clarifications, confirmations, and individual responses in English.
Created and managed participant forms, monitored responses, identified missing submissions, and prepared consolidated data.
Produced participant guidance, digital assets, forms, manuals, schedules, and other materials supporting the programme experience.
Shared updates, confirmed requirements, communicated issues, and coordinated between the client, internal team, and participants.
Supported event preparation, participant reception, information delivery, schedule coordination, and other on-site requirements.
Solution
Participant Portal
Programme guidance, schedules, materials, forms, and announcements were organized through a single participant-facing digital entry point.
Structured Communication
Communication was divided by purpose and timing, including requests, reminders, confirmations, clarifications, and operational guidance.
Forms and Tracking
Forms were used to collect required information, while response tracking supported follow-up, consolidation, and issue identification.
Operational Documentation
Manuals, guidance documents, schedules, and organized reference materials helped support both participant understanding and team operations.
Process
Reviewed client instructions, participant needs, required submissions, operational deadlines, and programme information.
Structured the portal, guidance pages, forms, instructions, announcements, and access to relevant materials.
Sent guidance and reminders, answered participant questions, monitored submissions, and escalated missing or unclear information.
Coordinated materials, schedules, participant information, internal handover, and event-day preparation.
Assisted participants and staff during the programme and supported communication, guidance, and operational problem-solving.
Outcome
The completed framework helped centralize participant information and support consistent communication across preparation, programme delivery, and on-site operations.
Skills Demonstrated
Participant names, passport details, visa-related records, travel information, accommodation details, dietary and health-related information, private messages, credentials, and client-issued documents are not displayed. Certain operational details have been generalized.
